Fire Regulations

For the purposes of public safety, the instructions laid down by the North Yorkshire Fire Service in the fire regulations must be adhered to. The maximum number of people allowed in the main hall is 200. Hirers must acquaint themselves with fire exits and fire extinguisher positions. The whole building is a no-smoking area.

Supervision

Adequate adult numbers of the hiring organisation must be present to ensure no wilful damage of Institute property takes place.
All persons under the age of 18 must be appropriately supervised. Ultimate responsibility for any damage rests with the hirer (the signatory) to whom any claim for damages will be made.

Disorderly Behaviour

The hirer must ensure that, in order to avoid disturbing neighbours to the hall, they prevent violent or criminal behaviour. Care should be taken to prevent excessive consumption of alcohol. Alcohol shall not be served to any person who is suspected of being drunk, or to any person thought to be under the age of 18. No illegal drugs may be brought onto the premises. Any person suspected of being drunk or under the influence of drugs shall be asked to leave the premises.

Use of Kitchen

When the kitchen is used in connection with a hiring, any breakages are to be replaced, and the kitchen area and all its equipment should be left clean and tidy.

Seating, Heating, Lighting, and Cleaning

The Institute Committee are not responsible for setting up or the removal of chairs and tables. All such items should be returned to their original positions after the event. No notices are to be affixed to the walls. The water heater and all lights are to be switched off when leaving the building. The premises must be left in the same condition as before the event.
Mops and brushes can be found next to the cleaning cupboard if cleaning is required. If the building is not left in a reasonable state of cleanliness, an extra charge will be made at the Committee’s discretion. All doors must be left secure when leaving.

First Aid

A First Aid Box is situated in the kitchen in a cupboard on the left marked with a first aid sign. Please make a note in the accident book of anything used from the box. The telephone number of the local Medical Centre is 015242 61202.

Payment

Preferred method of payment is by BACS. Cheques should be made payable to ‘Low Bentham Public Hall & Victoria Institute’ and either posted or dropped off at Low Bentham Victoria Institute, Main Street, Low Bentham, Lancaster LA2 7BX.

Cancellation

If cancellations are made with less than 7 days’ notice, a full booking fee will be charged.

Deposit

A deposit of £100 is required when hiring the main hall to secure the booking (£50 for local residents). This may be waived for short events at the discretion of the committee. The deposit is returnable after an inspection of the premises. The cost of any damage or extra cleaning will be deducted from this amount.

Keysafe

The keysafe number is available on booking the hall.

Safeguarding

You must ensure any activities for children, young people, and adults at risk are only provided by fit and proper persons in accordance with the Children Act 1989 and 2004, the Safeguarding Vulnerable Groups Act 2006, and any subsequent legislation.
When requested, you must provide a copy of your Safeguarding Policy and evidence that you have carried out relevant checks through the Disclosure and Barring Services (DBS). All reasonable steps must be taken to prevent harm and to respond appropriately when harm does occur. Relevant concerns must be reported to the appropriate person.
