ROOM HIRE & CONDITIONS

FIRE REGULATIONS

For the purposes of public safety the instructions laid down by the North Yorkshire Fire Service in the fire regulations must be adhered to. The maximum number of people allowed in the main hall is 195. Hirers must acquaint themselves with fire exits and fire extinguishers position. The whole building is no-smoking area. Please do not block gangways or exit doors.

SUPERVISION

Adequate adult numbers of the hiring organisation must be present to ensure no wilful damage of the Institute property takes place. All persons under the age of 18 must be appropriately supervised. Ultimate responsibility for any damage rests with the hirer to whom any claim for damages will be made.

DISORDERLY BEHAVIOUR

The Hirer must ensure that in order to avoid disturbing neighbours to the hall, that they prevent violent or criminal behaviour. Care should be taken to prevent excessive consumption of alcohol. Alcohol should not be served to any person who is suspected of being drunk, or to any person thought to be under the age of 18. No illegal drugs may be brought on to the premises. Any person suspected of being drunk or under the influence of drugs shall be asked to leave the premises.

ALCOHOL LICENCE

Licenced bars may be arranged by the hirer in accordance with the Licensing Regulations.

It is the Hirer’s responsibility to ensure that they have complied with the legislation.

USE OF KITCHEN

The hirer must ensure that any food prepared or taken onto the premises has been properly prepared stored and served using Health & Safety Guidelines. Any breakages are to be replaced and the kitchen area and all its equipment to be left clean and tidy. Please switch off the water heater. If the dishwasher has been used please empty and switch off at the wall.

USE OF HALL

The Hirer is responsible for setting up and putting away chairs and tables to their original position after the event. Please do not fix any posters or notices to the walls. When leaving please close all doors, windows and switch off the lights.

CLEANING

Mops and brushes can be found by the cleaning cupboard and near the toilets. If the building is not left in a reasonable state of cleanliness an extra charge may be made.

HEALTH & SAFETY

The Hirer is responsible for First Aid, Fire Safety and security of the premises. A first aid kit is situated in the kitchen in a cupboard marked with First Aid sign. The telephone number of the local Medical Centre is 015242 61202.

SAFEGUARDING

You must ensure any activities for children, young people and adults at risk are only provided by fit and proper persons in accordance with the Children’s Act 1989 and 2004, the Safeguarding Vulnerable Groups Act 2006 and any subsequent legislation. When requested you must provide us with a copy of your Safeguarding Policy and evidence that you have carried out relevant checks through the Disclosure and Barring Services (DBS). All reasonable steps must be taken to prevent harm, and to respond appropriately when harm does occur. Relevant concerns must be reported.

DEPOSIT & CANCELLATION

A deposit of £50 is required when hiring the main hall to secure the booking. The cost of any damage or cost of any cleaning will be deducted from this amount. If cancellations are made within 7 days of the institute being used a full booking fee will be charged.

KEYSAFE

The keysafe number is available on booking the hall.
